With everyone strapped for time and resources to get their goals accomplished and in many instances exceed them – the pressure to succeed has never been higher.

The concept of ROI for a membership to a professional organization is nothing new. Recently I came up with some key questions people need to answer to help them figure out the ROI of PCMA membership. I share these with all of you to help you articulate what PCMA means to you and to your organization.

As pressures continue to prove value – take the time to reflect and I’m sure you will come out with a rich story of what PCMA has done for you!

1. How many business deals have you put together based on your connections with PCMA?

2. What does your network look like and how many of those relationships are because of PCMA?

3. What special deals/pricing, etc. have you been able to negotiate because of your connections through PCMA?

4. What programs/technologies have you implemented in your own organization because of the education gained at PCMA?

5. What leadership skills have you grown/gained through volunteer work for PCMA (HQ or Chapter)?

6. What plans do you have in place that came out of the education/inspiration you received from participating in PCMA?

I am sure there are more – what questions do you use to evaluate your membership? Love to hear them!

Top 10 List...Revisited

In October 2010, I put together a top 10 list of things I was looking forward to. I thought it would be interesting to see if my top 10 actually turned out to be my top 10. Without a doubt - YES!

Here’s a look back at my list – with my updated comments:

10. Celebrating with the Award winners
WOW – I could not have loved meeting our award winners more and then when I did, I cannot think of anyone who could have been recognized besides this amazing group. Sadly, one of our award winners, Dr. B.J. Reed, was missing due to a broken leg (ouch) – but she was magnificently represented by one of her students.

9. Meeting a ton of new members
I can’t even estimate how many members I met during my time in Las Vegas. And it isn’t even all the new people I met, I saw so many members with whom I’ve already met and it was so great to reconnect and catch up with each other.

8. Giving back to the community through Hospitality Helping Hands
Both of our HHH projects were sold out! We had waiting lists before the event and it was insane the passion our members had about these projects. From all accounts the two projects we worked on (U.S. Vets and WestCare) were two deserving organizations and we made a real impact.

7. Seeing the Chapter Leaders – and celebrating the outgoing presidents
Plain and simple I don’t get to see our chapter leaders as frequently as I would like and being able to gather with them on Saturday to learn and network was great. I ran into many of them throughout the meeting and got to know more of them on a more personal level – which was fantastic. I’ve increased my “Friends” and “Connections” by adding a ton of them to my personal network!

6. Party With A Purpose – enough said!
This event was SOLD OUT for the first time EVER!!! It was a Vegas-style event, with amazing music brought to us by Austin CVB (thank you!). There was dancing, celebrating and partying – and when all was said and done we donated $25,000 to St. Jude’s Ranch for Children. Now that’s what I call partying with a purpose! :+)

5. Kicking off a new committee year
I got to spend time with my 2011 Awards Committee and we have so much to look forward to this year. With the addition of two new awards (check out more information on that in February) – we have even more opportunities to recognize great members!

4. Amazing keynote speakers
Okay, admittedly, as a staff member it is hard to see the keynotes because there are a lot of other activities to take care of so I didn’t get to enjoy all of the keynote addresses but I did catch a portion of them all. What I’ve heard was Tony Tsieh was AMAZING – so I will be sure to check out his presentation on the PCMA Online Learning Center when it’s posted.

3. Fun and energizing general sessions
It’s now time for a commercial plug…I love the creative work that Freeman brings to the table. Working closely with them, our M&E team really hit some balls out of the ball park this year!

Here I am with Elvis and some Showgirls at the Sunday reception!

2. Fabulous evening events
Seriously, these were mind blowing events. I walked into the Sunday reception and could.not.believe.my.eyes! The beautiful flowers, décor and entertainment truly proves that the entertainment in Vegas is second to none.

1. Seeing YOU!
I had so many good times, so many great conversations and so many laughs with you that I cannot stop thinking about how much fun this event was. As a staff member, sure, I came home exhausted, but that exhaustion is worth everything because I had an amazing time with you.

One of my social media and PCMA friends, Midori Connolly, has written about post-event blues – and many people have validated that it’s real. I can tell you that I have them. I miss being among you, I miss sitting down and talking with you and I miss the energy and excitement you all brought to me.

Thank you all for making 2011 Convening Leaders AMAZING and living up to my Top 10 list!

Now…I’m off to start working on the Education Conference and 2012 – see you in Baltimore and then San Diego!

Top 10 Things I’m Looking Forward To at #PCMA11

I realize that many of you are planning to attend PCMA's Convening Leaders (Jan 9 – 12 in Vegas) and like you, I am excited to get onsite and experience the meeting. As a staff member, my involvement in the meeting and seeing all my members is one thing that I love most about my job.

The fact of the matter is, no matter how much work it is, how many early mornings or late nights are needed, or even how ugly my shoes are onsite (they are soooooo UGLY! - see previous posts), being there and absorbing the energy of our members really motivates me to work harder for you!

So, here is my first, of what may be many lists that I will be creating, top 10 list of things I’m looking forward to in Vegas:

10. Celebrating with the Award winners

9. Meeting a ton of new members

8. Seeing YOU!

Let me know what you’re looking forward to…or what you hope you’ll see there. And, if it’s not already in the plans, maybe we can pull it off!

-Christine

P.S. – Don’t forget that early registration end 11/3!

Don't Talk to Strangers...and other tips for tradeshows!

It is a general rule of thumb that it is impossible to go to a tradeshow and not talk to strangers. Well, you could if you were really looking to sabbatoge your presence there.

I recently came back from a tradeshow where I talked to a man for about 10 minutes and at the end of the conversation I thought I might have a stalker - seriously!

So I was joking with some colleagues on a new rule I was implementing for our tradeshows - don't talk to strangers. It was pretty funny and of course I wasn't serious, but it got me thinking that as a booth staffer you need to put up with so much more than just the logistics and travel that come with exhibiting - you have to be able to deal with humanity in a professional and positive way.

To make my point, I've come up with some tips on how to be a good attendee:

Approach booth personnel with a smile. Do not look like an ax murderer!

If the show is slow and you find it fun to go around and mess with exhibitors by making up stories/professions, etc. I recommend you head for the hills.

It is also not wise to bring up your hatred of anything that might be controversial like religion, politics, ethnicities, genders - keep it professional people.

If you've overstayed your welcome in a booth, take the hint and move along.

Admit it - you are smiling to yourself right now because you've experienced something similar - am I right?

So, it's not just about being a great booth staffer for your organization, it's about being able to think on your feet, deal with the unpredictable, and stay professional no matter what you come across!

Have a good story to tell? Please send it along!

-Christine

Tradeshows Revisited

We have had a busy few weeks with our tradeshow presence, and there is more coming this fall. And, as I mentioned in a previous post, I am so not in love with how "paper oriented" tradeshows still are. Why can't more be done electronically?

Today I come bearing the news that shipping needs to be looked at too. For two of my recent shows I contracted for shipment through the show contractor. Both times the shipping company refused to come to my office to pick up the shipment - they wanted ME to deliver it to them while they just parked out front. WHAT?

I was in disbelief....and believe me the show contractor heard from me and made it right. But seriously people - really?!?!?!

Today was different...

Today will be marked on the books as the day when a shipping company got it right.

Today will be marked as the day when the shipping company called to tell us they were on the way.

Today will be marked as the day when the shipping company showed up in my office, confirmed all my pieces were present and then THANKED ME, yes THANKED ME for using them!

Why oh why, is this the exception and not the rule?

Please share your thoughts on this process...there has to be a better way!

Top 5 Things I Want To Read About...

Unlike a lot of top 5 lists around these days I would like to take a different approach, and thereby taking exception to a lot of the top 5 lists around these days, no offense. :+)

We all use SM for different reasons. I learn so much from my contacts on LinkedIn, Facebook and Twitter that if I were to give you things I don't want you to tweet about, I might miss something really cool.

So here's my list of what I want to read:

1. New and hot bloggers - please keep telling me who you're reading. I often go visit and have found some extemely interesting business perspectives/tips/tricks. Don't stop touting interesting people (or people to follow/friend/fan).

2. Work projects - if you are working on a project that someone out in the SM world could help you with...don't hold back - collaboration is one of the key things SM give us access to!

3. Great restaurants - while I often get hungry, and therefore sometimes angry, when I am not eating delicious food like you - I still want to hear if you're having a fantastic meal and where. It expands my knowledge base and gives me options of places to try.

4. Photos of your vacation, dog, cat, baby, husband, wife, friends, etc. - while we are connected to each other through SM we don't see each other F2F very often, if ever, so if you stopped posting photos of personal interests that are important to you we might not ever get a chance to learn more about you, find more commonalities between us, and therefore build a stronger relationship with you.

5. Interesting news - even if it's not industry related, you never know where you will get the inspiration for your next big idea. Post it especially if it's industry related...we all want/need to know - don't hold back.

For me SM gives me an opportunity to meet and connect with interesting people - if you stop doing the above because someone created a list that said you should stop doing these things, most likely I would stop following you because I wouldn't believe there was a person behind the name...

Agree?

Volunteers That Are Rockin My World - Go Membership Committee!

Hands down my Membership Committee is rockin my world these days.

I am so lucky to have an awesome membership committee that will tackle anything I put in front of them - always completing committee assignments on time and with a smile. I am filling out at least five forms per show for a 10 x 10 booth.

I think there is a real opportunity here.

I work in the event/tradeshow/association business - so I get it. There are many many players to make a tradeshow successful - I know that. So I'm not so much complaining, well...I guess I am complaining...but I'm pushing us to come up with some better best practices here.

The opportunities are endless - one form with all the stuff, electronic forms, one payment form.

What I would love is an electronic checklist that helps walk me through the event start to finish to make sure I get all the right forms filled out and that I opt out of services I don't need.

Someone out there has to be doing some innovative work with this - please let me know what it is and I will promise to help spread the word!

Volunteer Recognition - Traveling Super Stars!

I had the honor of traveling throughout Mexico in May with some spectacular PCMA members to talk about PCMA membership and trends in the meetings industry.

For this incredible dedication to PCMA and the industry I recognize:

Johnnie White, Cardiovascular Research Foundation

Leigh Wintz, Soroptomists International of the Americas

Dean Martin, Microsoft

David Peckinpaugh, HelmsBriscoe

Gary Schirmacher, Experient

We didn't just hit one city - we traipsed the entire country. Not as much as some, but more than others...roughly 8-10 trips per year.

Many times I'm traveling by myself and for my entire career I have not had any concerns of "traveling alone."

A couple years ago one of my teenage nieces asked me if I didn't get scared being in a hotel by myself. She asked, "Aren't you afraid to stay in a hotel by yourself? Aren't you afraid that something bad is going to happen to you?"

Seriously, I had never even thought about it like that...EVER!

BUT, it did make me pause and ask myself if I was being as safe as I could be. Was I doing everything I could to keep myself safe on the road. And so, like all travelers out there I was more vigilant about bolting the hotel door, using the in-room safe, etc.

This post is for all experienced travelers and those not so experienced - to give you the confidence to travel alone!

Basic tips for travel safety:
1. Secure your personal belongings at the airport
2. Lock and bolt your hotel room door
3. Take transportation from authorized areas only
4. Don't wear flashy jewlery or clothing - i.e. don't stand out in the crowd
5. Don't talk to strangers...no seriously...I know you are not in grade school, but sometimes in our quest for being friendly we talk...just be cautious
6. While seeming paranoid (okay I might be!) - make sure your luggage gets in the cab at the airport
7. Use the in-room safe - it's easy to use and there for reason
8. Don't open the door for just anyone
9. Check fire exits and escape routes
10. Walk with confidence

Here are a few sites that also offer valuable tips:

http:travel.state.gov

usa.gov

corporatetravelsafety.com

I know we must all travel for business/pleasure - let's just be careful out there!
Did I miss some of yours? Please share your own safety tips with me.

- Christine

There haven't been a lot of times when something really struck me as spot on thinking, the below excerpt from Geoff Livingstons blog (http://geofflivingston.com/) is one of those times.

His thoughts on the personal, one-on-one relationships that are built through social media really resonates deeply with me. It's not so much the ding on corporate communication, because I think he believes (and so do I) that mass communication is important, it's the addition of the new communication, through social media, that holds NEW power.

******************************************************************************

“So what’s an organization to do? You see organizations entrenched within larger conversations. People start paying attention, and a community starts to take hold.

When nonprofits and companies get over themselves and all of their contrived communications — like an awkward young adult finding themselves — they are able to focus on the big picture, and participate online in meaningful ways. They can add social to their larger communications mix as a real means to begin conversations with stakeholders. Whether that’s for fundraising/sales, community relations/customer service or volunteers/community loyalty, it really can happen on the social web.”
******************************************************************************
I believe that the need to connect is such an amazing thing - and I wonder how my professional life and network would be different today if social media had been around when I first started out.

I encourage the young and the old to get into the game now - there is so much to gain and if done right, with heart and sincerity, there is little to lose.

P.S. - Thanks Barbara for connecting me to this!

Volunteer of the week - May 6, 2010

Peter O’Brien
Marriott International
Association Account Executive

Peter has been a consistent and passionate presence on the Network for the Needy Committee for several years. And, it's good to see a week dedicated to thanking volunteers who give their time, talent and money year in and year out.

But it's hardly enough. A week? What about the other 51 weeks of the year that they work on behalf of our associations/causes/foundations, etc.?

This topic has been a nut I've been chewing on since I first learned of this special week.

In fact, I've suggested it as a topic for today's (4/27/10) #assnchat.

Here at PCMA we do a good job of recognizing our members and volunteers (below is what we currently do)...but I think there could be more throughout the year.

So I'm embarking on a challenge for the rest of the year - my own PCMA volunteer recognition through this blog. I'm taking suggestions for candidates to recognize - send yours in today!

PCMA's Volunteer Recognition:

We recognize a member each week in our ThisWeek@PCMA email newsletter.

In ChapterLeaders@PCMA, a monthly e-communication to our chapter leaders we highlight the good chapter work of one individual

Our website lists all volunteers

At our Annual Meeting volunteers are recognized formally from stage during our Celebrate PCMA luncheon

Do you agree with me that associations need to do more? And if so, what do you consider meaningful recognition? Is being a name on the list enough? IMHO - I don't think so...

Look for my first PCMA volunteer recognition post later this week...if you have nominees send them my way!

Green Jacket Moment

I golf. Not well and not often, but I've played my share of 18 holes over the years. I married into a golf family - therefore, I learned the game and sport that is golf.

To be honest, the best part for me is just being outside in the sun (as I do not golf in rain or on cloudy days!) for 4+ hours walking around on grass. The fact that I hit the ball straight, but not far, is often the cause of much conversation. I have a natural talent for hitting straight - woohoo!

So, I was watching the Masters Golf Tournament on Sunday (naturally!), and saw the Mickelson finish and the tender moments with his wife and children. *Break to commercial.* When they came back from the commercial they were in Butler Cabin, ready to announce and award him the coveted green jacket (that, let's be honest, nobody would really ever wear if it was just a plain old jacket without meaning).

Here's the part that made me take notice - the President of Augusta (the course where the Masters is played) got to make the announcement and award the jacket to the winner. (I checked out Augusta's website to find information on how someone becomes President of the club, but couldn't find anything...maybe I wasn't looking in the right spot - so take notice - if your website is so confusing you can't find your board members...but I digress).

So it got me thinking, this guy is President of this golf course/club and THIS moment is his coolest duty. How could it not be? All the planning for this event every year, with different presidents, it was this moment in time that, IMHO, is the most special and spectacular.
This is not much different than how associations run...we work all year planning for our "Masters" event (Annual Meeting, tradeshow, etc.).

BUT...what is the "Green Jacket" moment at your event? Is it the speech from the podium recapping their year, is it handing over the gavel?

Again, IMHO, those aren't "Green Jacket" moments - they are just moments...ticks off the list of things to get done at the event (yeah, I know - governance is important - I'm not arguing that it's not - it's just not *fireworks*).

What is the tradition of your association that could warrant this totally cool moment that gives your Chair/President, who is a very special volunteer leader, their true shining moment? The moment that they will take with them forever and leave that warm fuzzy feeling about the association in their heart forever.

My question and challenge is this - Define what your associations "Green Jacket" moment could be if you really thought about it.

Now, I need to go...I have a noon tee time! ;+)

Vacation in Paradise!

Hi everyone. I just returned to work today from a week of vacation...so forgive this tangent - but I'm in the post-vacation glow! A quick review of our itinerary:

A few days in Phoenix with my inlaws to celebrate Easter

Recruited said inlaws to watch Leo

Next stop Sedona for some hiking and R&R

Quick side trip to the Grand Canyon (my first time)

WOW - this country is so beautiful and in so many unexpected ways. Who would have thought that rock formations and the color of rocks would be so inspiring? It's mind blowing to even think about how one small little river (the Colorado River) formed the entire Grand Canyon - WOW!

As you know, when you travel you get to see the good, the bad and the ugly of the travel and hospitality industry...the good news for me is that we only had GOOD experiences so I want to give a few shout outs to some exceptional service providers:

1. L’Auberge de Sedona - WOW! We had our own individual cabin with a fireplace, outdoor (yes, outdoor) shower, and a beautiful creek (Oak Creek) flowing at the back of the property. They had resident ducks camped out along the shore that were just plain cute. Our dining there was delicious and all the staff were so super friendly. It made me wonder why everyone doesn't move to Sedona to join in their friendliness 24/7.

2. Red Rocks Jeep Tour - you know what I'm talking about...the open air jeep tour of the local "scene". Our tour guide/driver - Calamity Jen was spectacular. She knew all there was to know about the Red Rocks of Sedona, gave great dining advice, was friendly and gave us a bumpy ride we'll never forget.

3. American Airlines - yes - American Airlines!!! Traveling with a toddler isn't always easy - even with a good traveler, like Leo is. They didn't hesitate to get me additional water or milk for Leo during the flight and never made me lift him off my lap (when he was sleeping) to make sure my seatbelt was fastened. I really dislike that part...YES, my seatbelt is fastened...NO I don't feel like I need to prove it to you. So, I was very happy that they didn't make me adjust Leo...which could have woken him up. Our luggage showed up, our stroller showed up, we arrived early in both destinations...WOW!

4. The Grand Canyon forest staff - These folks know what they are talking about, love what they do, and have the best "office" around. Two thumbs up for expert advice on trail conditions!

It was a great week away from the office and I'm happy to report on the excellent time we had.

Do you have a great vacation coming up? Where are you going? What are you doing?

Ring Buzzer for Customer Service

"Don't they understand that we have to take care of our members? They are why we have jobs!"

The concept is so simple - without members, associations would not exist. And for that matter, I would not have a job...but why is it so hard for some associations and businesses to get this basic function down right? Does anyone besides membership really care and nurture member relationships?

Are we educating and training new employees on what are the basics of member care?

Does every department "get it" and are they participating in ongoing member care initiatives?

These are just a few questions to ask yourself, or your management team. And then put actions or (SOPs) in place so there leaves little room for interpretation of what's expected.

Here are some examples:

1. All member emails answered within 2 hours of receipt

2. All member calls returned withinin one hour

3. Receipts issued automatically after payment (for anything) is completed

4. Website issues addressed and cleared up within, at the very least, one business day

5. Difficult situations handled immediately and by appropriate staff

These are just some of the standard practices that associations follow - what one's work for you? Please share them today!

-Christine

You had me at online...

Have you ever found yourself realizing something that should have dawned on you before, but it never did?

That happened to me today as I was walking through the halls of the office and it was shockingly simple...but it never dawned on me before.

I realized that I love online communities and I have for more than 10 years. You say, "Come on Christine - don't talk crazy talk!" That's impossible there were no online communities 10 years ago!

But it's true!

I've been participating in online communities starting in 1999 when I was planning my wedding. I found that Martha Stewart had an online discussion board where brides of all types could gather and discuss all the intimate, nit picky aspects of wedding planning. We could complain to each other about prices of flowers, dress, invitations, whatever. But there was one thing in common - we all were excited about our wedding.

I have a fair amount of self awareness and I realized quite early on that not many people cared about my wedding as much as I did and REALLY did NOT want to hear it. My outlet for my excitement was Martha Stewart's online discussion board. If fact, I just visited it today and it's still alive and well (http://www.marthastewartweddings.com/community).

It was a little piece of heaven for me - my secret outlet for wedding obsession with a lot of other gals who were equally wedding obsessed (not bridezilla's as today - but just girls who were super excited).

By the time I was expecting Leo I was already on Facebook and LinkedIn (not on Twitter though) - and I as I searched the web for a site that could give me the same sense of community I had when I planned my wedding 8 years before, I ended up at the What to Expect website.

What I loved about this site was that I was not only in a large community of pregnant women, but I was in a subset of women who were all due in the same month as me. I mostly lurked on this site because it often got very "interesting" - but I enjoyed having a place to learn and hear from others who had similar questions/issues/concerns.

So, here I am, participating on Twitter and writing a blog and connecting on Facebook and LinkedIn and it has connected me with a lot of very interesting people, from all walks of life, all different career paths - but we all have one thing in common - we are passionate about the meetings industry and association management.

History is repeating itself my friends - and I'm glad I have you to hang out with!

-Christine

Lessons Learned from a Pooch Hotel?!

*Full disclosure right now – my dog, Hippo, is spoiled. Enough said…please continue reading.

As a dog owner who travels a bit for work and pleasure, the decision on where to board your pet while away is a big one. For me, and Hippo, it has a lot to do with the environment the dog will be in while I’m away – how much play time is there with other dogs, will they give medicine each day, will they bathe the dog before I get home – that kind of thing.

So if you’re evaluating boarding facilities – all of them have the basics – a cage for sleeping, a play area for group play and some sort of grooming facility. It’s the ones that go above and beyond that stand out.

It struck me a couple weeks ago when I had to drop Hippo off for a three night stay at Pooch Hotel (in Chicago – www.poochhotel.com) that there are quite a few similarities between the dog hotel and the hotel we stayed in – save for a few.

Pooch Hotel
The online boarding reservation system is a breeze and everything is handled at one time, on one screen – you can make the boarding reservation, you pick size of cage, treats or no treats at bedtime, spa (aka grooming) appt, individual walks to a park, etc.

Human Hotel
At a human hotel once you complete the online reservation, then you have to go back online or call the concierge to make dinner reservations, spa appts., court time/tee-times, etc.

Pooch Hotel
Upon arrival – all the desk staff welcomed Hippo by name without asking me who it was…Their secret? I’m not sure, but I think they take pictures of the dogs and keep them with the dog’s file.

Human Hotel
Travelers have the opportunity to provide profile information about their preferences – but are they taking advantage of it? I know I have a profile at Wyndham and when I stay there I get extra pillows and Diet Coke – I love it.

I encourage, not just the hotel world, but everyone including association professionals to capture and then use the information they have on guests/members to their advantage.

Clearly, Pooch Hotel is exceeding my expectations, and I will return. So, I ask, what are you doing to stand out and exceed your client/customer/guests expectations?

Are you a hotel? I say privledge because when was the last time you just detached yourself from your computer/phone and thought about stuff, planned instead of reacted?

If you had a year similar to people I know, you were asked to do more, with less...nose to the grindstone with barely enough time to come up for air. For a lot of us that strategy worked last year to a large extent, but that is no way to consistently operate a business/department. It just doesn't work - it will burn out your team members (and you).

Tomorrow is the time for my team to take a deep cleansing breath of fresh air!

I'm so curious to know what you are doing to plan for the year - knowing we need to keep our focus strong, but also be forward looking/thinking. I admit it freely. Everyone told me about these clogs made by Dansko and how my feet and back would NOT hurt after wearing these same shoes for the entire conference.

I didn't believe them. BUT, I bought them because really what's the harm, right?!

It's true - they were the most amazing shoes. My feet didn't hurt once and my back lasted the entire event. It only started hurting after I made the unwise decision to wear my computer bag for 4 hours!

So, if you are in need of tried and true (and tested) shoes for your next event, and you don't mind a slightly ugly shoe to hide under your slacks - try the Dansko clog.

Do you have other shoes you like for events? We wrapped up our award nominations at the end of July and the committee has been working hard the last couple of weeks evalutating all the nominations. We come together as a group on Monday to select the winners.

This is my first year as the staff liaison to this committee so there has been a lot of "learning on the go" but nothing could have prepared me for what I have learned about PCMA's members.

I am totally not surprised by how amazing our members are, but what does amaze me is how their complete commitment to the industry is unfaltering. They mentor, they teach, they write articles, they Tweet, they blog, they share, and share and share.

After selections are made by the committee, my time focuses on planning the award celebration with our meetings team. But before I finalize too much, I'd love to hear from you on the following:

1. If you've won an industry award, what is the one thing that made the ceremony most special?
2. If you had time to say a few words after receiving the award, what did you say? Who did you recognize?
3. Any thoughts on what would make a great awards celebration?

Send me your thoughts no later than October 15!

Christine

Labor Day...

Looking forward to recharging my battery this long Labor Day weekend. So PCMA is using a product called Crowdvine to help annual meeting attendees connect with each other and it also filters Tweets and Facebook and all that cool, fun stuff. Today is the first day and it's pretty fun.

Last week at ASAE I attended a lot of sessions about social media and the importance of it in your organization. Below are some nuggets that I learned and hope that you find it helpful.

- Engagement Pyramid - Curators at the top, Producers, Commenters, Sharers and Watchers (at the bottom)
- Can't tell ROI on the technology, but you can tell ROI on the goals for participants in that technology
- Let go of control - in a true relationship you don't own all the control
- Define the sandbox - that is define the walls that the organization is willing to let people play in
- Focus on relationships - not technology
- Start small, but start
- Authenticity - be open
- Bravery - try new things
- Comment on your own blog - as many others might be afraid to "be the first"
- Brand videos with logos
- Keep videos short (under 3 min)
- ROI - create goals against: 1) # of members; 2) # of discussions; 3) # of tweets

Do you have any to share?

-Christine

blogs still worth it...

I was relieved, and a little stressed, to learn at ASAE09 that blogs are still worth it. I thought I'd share with you how I'm doing trying to prepare for two babies....

One isn't actually a real baby, it's our Annual Meeting (January 11-14) in New Orleans. But it's a baby in my eyes because this year I'm going to miss it. Yes, that's right, I'm not going. BUT, before you get worried - it's because I'm preparing for a real baby. I'm due December 27 and the timing is just a little off...to say the least.

So my head has been in the office getting the team prepared and all the i's and t's crossed so that when my membership team gets onsite they'll be able to execute flawlessly.

Am I the only one who has had to deal with this situation? I can't imagine I am - I would love your feedback on how you prepared to put on your biggest event of the year and figure out how to get everything/everyone ready to work while you're out on maternity leave. The question of the ages perhaps....

-christine

Preparing for ASAE

From what I know of our members you all look forward to the PCMA Annual Meeting to get the most up-to-date information available and come back refreshed and with new innovative ideas. For you, the 2009 Annual Meeting (Jan 11-14, 2009 in New Orleans) will NOT disappoint. Stay tuned for more information on the creative things we are planning and the exceptional education (what else would we provide?!) that will be available.

For me, as a professional in the membership arena, I look forward to the ASAE Annual Meeting with the same anticipation. I'm getting ready to go (August 16) and have been scouring the website and the program trying to decide which sessions to attend. I've come the realization that I truly cannot clone myself and go to 2-4 sessions at the same time...darn it.

If you'll be in San Diego for ASAE look for me - I'll be the woman running from session to session getting as much information as possible!!!

-christine

Summer is here!

Sunlight is bouncing off the fountain in Millennium Park, Randolph Street is preparing for another festival of delectable food and McCormick Place is buzzing with the anticipation of a new show...today is officially the first day of summer in Chicago!

With the new season there is also a new team member here at PCMA; please allow me to introduce myself:

My name is Liz Giannini and I am thrilled to join PCMA as Manager, Chapters and Membership. In fact I attended a session about it last week. Not surprising, the decision for people to join rests on the time commitment and the work of the organization. There are so many different ways to become involved in an association.

What was the tipping point for you to join PCMA? Or, any other organization? If you're not a joiner (of anything) - what's it going to take for an organization to win you over?

Any other thoughts to share on why to join? I'd love to hear your ideas and maybe we can incorporate them at PCMA.

More later - Happy Spring!

Christine M.

Find Your New Position!

Quick musing for the day....

I have met 5 people, in the last 2 weeks, who have used the PCMA Career Center (www.pcma.org/careercenter) to find their next position. The premise is fairly straightforward - you connect with people online instead of face to face. The role this plays in meeting planning is key, some might say critical, as it allows you (the planner) to add another dimension to the networking you provide face to face at your conferences and annual meetings. It doesn't replace it.

I thought this might be helpful to some.

http://www.imediaconnection.com/content/18872.asp

For instance, on LinkedIn, I accepted an invitation from a PCMA member. Easy enough, right? But then when I was at Springtime (http://www.springtimeexpo.com/attendee_home.cfm) yesterday he came up to me at the PCMA booth and we chatted for a little bit.

Beyond saying it's just "cool" - I would say it's a place you need to get to know and become familiar with. Once you dive in you will be thankful that you did!

You can find me at the following social networking sites:

1. Is it just because this is what we do for a living? But, I can't go to an event without looking at all the details of the event from a planner perspective. I look at linens, I take photos of centerpieces, I look at signage, buffet set-up, bar service, candles, registration materials....the list is exhaustive and exhausting.

I'm back recently from a wonderful trip to Laguna Beach where we stayed at the St. Regis. Wow - great, great property. The meeting rooms were nice, the ballrooms were also good - easy to maneuver throughout the property - all in all a good, good experience. Did it hurt that it was 70 degrees and sunny and I left behind snow storms - you bet it matters. :+)

But back to business, enough day dreaming already!!!! I was there for a fun work retreat for my husband - a little bit of business and team celebrations (awards, dinner/dance) but more time for R&R. It was a bank event (where my DH works) - and they did an excellent job of working with the space in unique ways and utilizing the great outdoors (thanks to some heaters at night when the temps got downright chilly) for receptions and breakfasts....

So, even when I'm far, far from home and "trying" not to work - I end up evaluating the entire event. I won't push for workers comp or anything - I guess it's just a curse (or a blessing) of this fun, creative and unique industry we work in!!!

-Christine M.

2011 and 2012

Disclaimer: It should be known that I am not involved AT ALL with our site selections - I'm in Membership for goodness sake....so I have no voice in the decision....
**********************
What exciting news to report that PCMA will be in Las Vegas and San Diego in 2011 and 2012 respectively!

Las Vegas has so much to offer and I know our attendees will get an experience to remember. I look forward to reliving my good times and seeing all that has changed since I was there last.

-Christine

Blogs and The Meeting Planner-A love story!

No, that's not the name of a new fairy tale - the time is upon us to see new ways (which could be good or bad) in which our members are only a text message away, blog or streaming video from talking about our events to the world at large.

I found this blog entry very interesting and thought I'd pass it on. I got it off a website I recently just found (as in last night) - these folks are at the forefront of new ideas - it's time for us to pay attention.

A taste of the blog entry from Kare Anderson, co founder of Say it Better Center, LLC :

"Live blogging just started recently, mainly at tech-centered conferences or unconferences. Audience twittering just started within the past 14 months or so. Yet the trend will spread quickly to more kinds of meetings. Parents are learning text messaging to keep in touch with their children. Young meeting attendees expect to make their views heard, in the moment. As more meeting attendees adopt these social media tools, they’ll use them the conferences they attend.

Thus more and more attendees won’t wait to vote on the questions the speaker or panel wants to ask. They’ll be commenting, asking the questions and trading opinions as the program unfolds. They’ll take photos from their seat, then try streaming video."

See the whole article here:

http://theswom.ning.com/profiles/blog/show?id=1306361%3ABlogPost%3A2268

If you were in Seattle you heard Mich Matthew's talking about this...that it's coming. I think that time has come.

What do you think? How are you using new technology at your events? What's stopping you? Who's the evangelist in your organization that's pushing for this? Do you have one? If not, you might want to gather a team together and look at this to see what you can do to join in the fun....and it is fun, exciting and just a little intimidating.

- Christine Melendes

Call for Ideas....

Did you attend the Annual Meeting in January? If you did, did you stop by the Pavilion? If you did, I need your help. Really, I'll take any suggestions - so don't worry if you didn't attend....

I created a PCMA Pavilion at the Annual Meeting - the sole purpose was to show off the new website, have staff on hand to discuss member benefits and all the cool new things PCMA is doing. I think it went well. We had a good spot and traffic was decent. The concept rocked and I don't want to lose it in 2009 - actually I want to make it BIGGER AND BETTER in 2009.

This is where you come in. What ideas can you think of to make it better in 2009...keeping in mind that I want to highlight PCMA. We will be in the New Orleans convention center - it's long and thin and there are a lot of opportunities to accomplish this idea...but it won't look the same.

What creative ideas are you using at your meetings to promote your own organization?

How can I creatively use the space for maximum benefit and traffic?

What ideas can I steal (thank you very much) - to really knock this out of the park?

Let me know your thoughts - would love to incorporate ideas that come from members.

-christine m

Next F2F Opportunities

Monthly programming from PCMA HQ that you can take advantage of. Without a doubt I fell in love with Seattle! Maybe it was the flukey sunny days and mild temperatures, maybe it was the rolling hills of the city, maybe it was the FRIENDLY cab drivers who thanked me for coming to Seattle, maybe it was electric street cars, maybe it was the shopping. But in the end, it was all of it rolled up into one sweet package!

As an organization, PCMA is leaving behind a legacy of planting a tree for everyone who donated $20 to the Education Foundation. What I also hope is that what PCMA is leaving behind is the good will of our organization and a lot of meeting planners who will look at Seattle for their next meeting. The green carpet was rolled out for us in a BIG way - let Seattle show your organization the same hospitality - your attendees will thank you!

Thanks again, Seattle - I had a great time!

Christine

Here we come Seattle....

So, I leave for my first PCMA Annual Meeting tomorrow morning. Now, in my time in this business I've planned and executed LOTS of annual meetings/conferences - so I know what is in store as far as sleep deprivation and my poor poor feet go.

What totally makes it worth it for me - and here's what I'm really looking forward to - seeing it in action. I can never tire of that energy, that sense of one - even if there are 3,000+ people - that happens when everyone is together...it is a huge adrenaline rush for me.

I don't know about you when you have a big event, but I make absolutely certain that I give myself some space to step back and watch the meeting happen, to enjoy the tiniest of moments...so that I don't feel like all I've done is execute and don't remember a thing. There is nothing worse than the feeling of "I MISSED IT!" - that is something I will make sure doesn't happen in Seattle.

And I know, as I sit here and type this that next Wednesday when it's the last day of the event I will wake up and wonder, "where the heck did the time go?" It's inevitable, despite the throbbing feet, that I will be sad that it is over. That I will have to say goodbye to all the new people I have met and to a city that is opening it's arms to us.

If you get a chance, check out this story that published this morning: http://seattlepi.nwsource.com/business/346609_convention09.html

Seattle is ready for us and we are ready for Seattle....here we come!!!!

Facebook has opened my eyes

Have you been on Facebook? I went on it - with some nudging of Melissa who heads up our student efforts and has created a network online for all our students attending our Annual Meeting. Anyway, I went on and started playing around...not quite sure what I was doing.

I have been on LinkedIn (www.linkedin.com) for a few years now - so I "get" the premise of social networking.

What I didn't get - was how HUGE Facebook was and what a powerful tool it was to help ease communication with friends, family and colleagues. I now have a Facebook account that I visit once or twice a day to see what's going with my Friends. And when I say Friends, it's not cyber friends (people whom I've never met). They are my friends that I don't get to see enough because of time limitations 0r the fact that we live in different cities, they are my neices and nephews who live in a different state - I stay connected with them in a whole new way which is priceless, and they are my colleagues folks I see everyday but for which our relationships are different now that we are "connected" in this new way.

Here's a prime example of the power of Facebook. After I created my site I became Friends with my colleagues who were on Facebook - not really believing that I knew anyone else who would use Facebook. I was wrong. Within 5 days I had found an old friend of mine from college - after 15 years - can you believe that?!!! Because we're in different states than each other it's not likely that we would have just bumped into each other. This ability to cyber connect is priceless!

PCMA has brought forward a business networking site for the Annual Meeting called PCMA Connect. PCMA Connect works very similarly to these other social networking sites - but it's a place to connect more for business connections than personal. But one thing is for sure - if you use the site for it's intended purpose the personal is bound to come because I believe it's just simply impossible to not personally connect with someone with whom you have something in common with - business or otherwise.

The power of these sites to bring you to a mass of people is something that you shouldn't ignore. My advice to anyone that's a little curious about any of these social networking sites is to try it - you never know who you'll find.

-Christine M.

New Year.....Already!

Here we are...at the end of another year. It felt strange today talking to my team about our first meeting next year. NEXT YEAR! So many things have happened this year for me - most really good. I started at PCMA in April and I cannot believe that 8 months have already come and gone.

As we are embarking on a new year, new opportunities await us - if we are willing to take chances and risks - who knows what we can accomplish! I know that some of my goals are pretty HUGE, but without trying I have no idea how far we can really go.

I wish you the Happiest of New Year's, safe travels, relaxation and a renewed spirit as we launch into 2008!

Cheers -
Christine

So...tell me about yourself

I don't know if you are aware of this, but PCMA is trying to learn more about you...and we are trying to do it through a demographic survey. You can buy individual tickets and all the funds raised go to three different organizations: PCMA Education Foundation, PCMA Network for the Needy committee and a local Seattle charity.

This year the charity we selected is The Moyer Foundation's Camp Erin. Camp Erin is a grief camp designed for children ages 6-17 who have experienced the death of a parent, friend or loved one. It is a weekend-long experience filled with traditional, fun, camp activities combined with grief education and emotional support -- facilitated by grief professionals and trained volunteers. The Moyer Foundation partners with local hospice and grief counseling organizations in the communities where the camps exist. Because these organizations are seeing and treating grieving children everyday, they act as the natural registration points for Camp Erins in those communities. Support from The Moyer Foundation and local communities ensures that Camp Erin is free to all campers.

Find out more about this exceptional charity at: http://www.moyerfoundation.org/events/erin.aspx

Be sure to view the video to see for yourself the good work that they are doing.

We hope to see you in Seattle having a good time at PWAP - tickets are $95 - send me a note if you have any questions! http://www.pcma2008.org/content/party-with-a-purpose/39

-CM

Charity Giving

At this time of the year I always look for a charity to donate to. I am constantly amazed at the quick passage of time...I'm sure I'm not alone here.

We are about 40 days away from our Annual Meeting (Jan 13-16 in Seattle) - and the finishing touches are going on the event. This is my first Annual Meeting with PCMA and so I am watching from the sidelines as our Meetings & Events team works effortlessly through the details, the hassles and the issues that are inherant in a major event.

For my team - this is a HUGE part of the year for us as we are focused on recruiting new members who are interested in attending the Annual Meeting - as well as serving all our current members who are renewing and interested in learning about what's in store for 2008.

For our Student members - this is a big time too - as they are all joining us again - 400 of them in October alone - holy smokes!

Stay tuned for more updates....

-CM

Back to Hawaii...

More musings from my trip to Hawaii...

Make sure you always prep and rehearse your leadership if they are presenting in front of a group. Understand if they are comfortable with public speaking and if not, invest in the time to get them comfortable - it pays off tremendously - not only for them to look good, but for the attendees to respect, admire and have confidence in the leadership.

If you are recognizing sponsors, partners, supporter, donors - make sure you have all the names of the companies or individuals who contributed. I know, tough job but somebody had to do it! :+) It was a great trip and being as it wasn't work for me I thoroughly enjoyed myself. As part of the meeting registration my husband signed me up for the spouse package - which included 3 breakfasts, a reception (with live music and dancing) and a plated dinner (with live music and dancing). It was quite enjoyable - especially when I wasn't the one having to worry about food allergies, seating charts, etc.

Also as part of the meeting, as Hawaii is an excellent destination for sightseeing, many excursions were planned that were opt-in, with a fee. We took advantage of two trips - both really amazing destinations and activities. It's hard to complain about anything when you're in Hawaii...but without boring you to death with details I'll sum it up as this - if you have a bus full of people out for a period of more than 3-4 hours - please provide snacks and a cooler with at least bottle water for them. People do get thirsty!

My point being this - take a look at the small details of your event - little misses can add up.

As a planner - what are your thoughts? As a supplier to the industry - how do you work with planners to make these events the best they can be?

Exciting stuff in the air

It's been a while since I've written, but I'm back!!!! It's not because I haven't wanted to write - I really have...but you know how it is in the fall - so much to do before the holidays and at PCMA that means being 100% prepared and ready for the Annual Meeting before Thanksgiving - keep your fingers crossed.

Two major initiatives to tell you about - I hope to see you in Seattle so you can tell me what you think of them! You'll find me in PCMA Connect and at the PCMA Pavilion.

PCMA Connect launched yesterday for all attendees of the annual meeting - it's an online networking community. If you are reading this, most likely you are interested in the benefits of online information. The link is: http://pcmaconnect.intronetworks.com/. If you haven't registered - what are you waiting for???

Are you asking yourself what is PCMA Connect - here it is in brief:
PCMA Connect is an intelligent, targeted virtual networking experience created to maximize quality networking opportunities for Annual Meeting registrants.

This simple, user-friendly system allows Annual Meeting registrants to create personal profiles, conduct targeted searches, send intersystem emails, and participate in online forums about the latest industry trends.

PCMA Connect for the Annual Meeting launched on Tuesday, October 16th and will remain active through 2008.

This means that when you connect with people before and during the Annual Meeting - you can keep that connection throughout the year!!!

I also wanted to promote a new area at the Annual Meeting called the PCMA Pavilion. New in 2008, the PCMA Pavilion offers you a respite in the middle of a busy meeting. Created with your needs in mind, the PCMA Pavilion is a comfortable place to meet up with friends and colleagues during the meeting, relax between sessions, or plan out your schedule.

With couches and chairs to relax in, you can also find demonstrations of the new PCMA Website, learn about membership and leadership opportunities, learn about PCMA’s events for 2008, and see demonstrations of PCMA products and services.

I look forward to meeting you all in Seattle - you'll find me in the PCMA Pavilion. But one thing is certain - fall planning is kicking into high gear. Budgets, Annual Meeting planning, membership campaigns, Board Meetings, Chapter meetings...there's enough activity to show me that fall is here - even if the weather doesn't give it away.

Working in the non-profit world for such a long time, it's the yearly cycle, the predictable and the unpredictable that makes this profession so interesting and challenging. For many of our members I know you are in the same boat - others will be right here in a few months while you prepare for your spring meetings.

Keeping focused while at the same time balancing all the big and small details can be challenging, but for those who are good at it, we can learn a lot.

One way I keep my focus is to filter all my activities around the end goal - if something is distracting me from my goals, I try to deal with it quickly and then move on. I'm sure there are a ton of ways you all have for staying balanced and getting it all done.

I've seen you in action - I know you perform daily miracles - getting someone in the host hotel, getting that special meal request handled at the last minute, dealing with a difficult VIP guest or speaker, travel delays, the list can go on and on.

Share your thoughts on how you keep it all going without the proverbial details falling through the cracks......

It's Not Easy Being Green...

Here are some websites you can visit to get info on green issues. Here's a part of what she had to say...you can find the rest in the comment section:

....There were so many points that both reinforced information known and provided new insights. Finding just one would be impossible. The 3 of us who talked and shared information that night believe that we need to dissect some of the points and do so point-by-point and THEN see how we can apply the learning to our industry. We have a long way to go to ensure that this industry is at the cutting edge of the world economy. We can start it here.

This is more than a gentle nudging to keep the conversation going - it's a business imperative.

Thanks, Joan - for keeping it alive.

What does everyone else think?

The Future....

On Tuesday, PCMA held a Masters Series program in Washington, D.C. with speaker/author Jeremy Rifkin. I'd say the event was a huge success...not just because it was well attended (of course that's critical), but because of the continued dialogue that happened well after the session ended. I even heard people on the HSMAI show floor talking about it - and they weren't even in attendance....

For those of you who attended - let me know what stuck out the most in your mind? What are you doing differently today based on information you learned on Tuesday?

I heard from many people that you want to continue those conversation - let's use this highly interactive vehicle to do that. What is most interesting is watching people handle the flight issues. I used to remember a time not so long ago when people would yell and get huffy with the airline personel. Not tonight. Is it because people are just used to it? Are we a kindler, gentler nation??? Are we just more mellow these days?

I wonder what changed?

If you travel a lot, I just discovered that Orbitz.com has a mobile version for your handheld device. Go to mobile.orbitz.com and you can chose your airport and see real-time travel alerts - from REAL travelers.

Flight delays are a part of life and right now I'm just soaking up the scenery (I love people watching and what better place than the airport!), trying to stay focused and get some work done and contemplating a Potbelly cookie.....

First Week...

With the first week of the blog under my belt I'd like to thank everyone who has visited and chimed in on the discussions. PCMA member John Schneider (Director of Events) works with this organization. This is a society that is singularly focused with a very clear and concise mission. I'm amazed by this group - to have such clear focus and vision of who they are and why they are in existence is so awesome. That can be hard to find these days.

Their mission couldn't be more clear:
"The Society is built on fundamental principles that drive our mission: that singing brings joy to our lives and world."

I hope you have the opportunity to work in an environment where focus and vision are right at your finger tips.

Two Questions to Ponder:
1. The blog is an interesting animal and I'm having a lot of fun writing and thinking about issues and concerns.

One comment posted is about looking for new ways of attendance building. I don't know anyone who is not concerned about getting people to their educational programs, networking events, or tradeshows. It's HUGE. With so many marketing minds out there please post your tips on how you build attendance at your events. I know by pooling our ideas we can directly affect the success of each other - that is super cool.

Separately, I see from the poll results that the leading issue many are facing is not enough support. I realize now that that's pretty broad - is it employee support, supervisor support, board support? So many possibilities... Which one are you specifically dealing with? Any real life advice on how you have overcome this obstacle?

Looking forward to continuing this discussion and seeing what's going on with you!

Biggest Concern...

So I've been thinking a lot about the question I posted regarding what the biggest challenge/concern is for you. I think, not surprising, for me it's budgetary. Being smart with my budget, staying focused on "desired state" or "desired outcomes" is hard - but critically important.

I find the greatest success sticking to this by using a filter that forces me to ask: what is the point of X? Whether X is an email, a postcard, a brochure, new web content, etc. If you cannot answer that question you need to get more information on the project. Try this filter on your job and let me know how it goes.

If you are contributing at a level where you don't have the ability to directly control your budget creation or spending there are ways for you make a difference. Make sure you always know what and why you are working on a project - this is easy to overlook especially when you are busy. Stop and ask the question - it will most likely save you a lot of time in the long run.

Tell me - how do you stay focused?

How do you contribute when you aren't the final decision maker?

Welcome!

Welcome to the very first PCMA membership blog site!
